Overview
What Airtable is
Airtable is a cloud platform that looks like a spreadsheet but works like a relational database. Data lives in bases made of tables, and each table holds records with typed fields, including text, dates, attachments, single and multiple select, and, crucially, links to records in other tables. That linking is what sets it apart from a spreadsheet, letting you model related information, such as projects, clients, and tasks, without duplicating data.
How Airtable works
The same data can be shown through multiple views, including grid, kanban, calendar, gallery, and form, so different people see it the way they need. Built-in automations trigger actions when records change, Interfaces turn a base into a simple app for end users, and a REST API plus connectors for Zapier, Make, and n8n let Airtable exchange data with the rest of your stack.
How an agency uses Airtable
We often use Airtable as a lightweight operational hub and back end when a full custom database would be overkill. It anchors workflow automation and database reactivation projects, holding leads, content, inventory, or campaign data that automations read and update through n8n, Make, or Zapier. Is Airtable a database?
Airtable is a hybrid: it offers relational features like linked records and typed fields, making it far more database-like than a spreadsheet, but it is not a full relational database management system. For very large datasets or complex queries, a dedicated database is still better.
Is Airtable free?
Airtable has a free plan with limits on records per base, automation runs, and history. Paid plans raise those limits and add features like advanced automations, more field types, and better permissions, priced per user each month.
Airtable vs Excel or Google Sheets?
Spreadsheets excel at calculations and ad-hoc analysis. Airtable is better when you need to link related data, attach files, show the same records as kanban or calendar views, and automate actions, functioning more like a shared mini-application than a sheet.
